Hi and welcome to GMAT Club!
The score reporting happens to be electronic these days (used to be paper and that was a hassle).
My understanding is that Now the school just has the report sitting in its DB on the GMAC's site where they can go and later verify the score and look up your picture from the test center, and read the AWA essay if they choose to. i am going to guess is that different schools have a different process and different adcoms may do it differently - they used to have paper files with all the docs but now it is probably all electronic and when the team meets for a review of the applicants, it may happen electronically so the paper shuffling is not happening, and they may have already graded the applicant in whatever areas they grade them (e.g. maturity, leadership, helpfulness, employability, learning potential, jerkiness, and so on).
I would say that after your essays the most important aspect is the interview since that is a real opportunity for them to meet you and that's the only REAL experience from the whole thing (you can pay to have essays written, resume cooked (bad idea as it will show up in background check), and LOR's faked, but the interview is real you)... i probably went beyond your questions, but hope it helps.
P.S. they will bombard your mailbox with offers and brochures and not only because you applied (they may be more persistent if you did), but GMAC also sells your records for about $0.50 per person or at least that used to be the price to schools (over and over) and schools purchase database lists to market to (they can choose GMAT score, geo location, GPA - that's why you report that little tidbit of information on your GMAT profile). Anyway, you are a big business and worth at least $0.50 to someone.
